How does the rental selection process work?
Our selection process is first-come, first-served. When you submit your application with all required documentation, you enter the queue. As apartments become available, we contact applicants in order of complete application submission.
When do apartments typically get rented?
Most apartments for the upcoming academic year (June to June) are rented by mid-to-end October of the previous year. We recommend applying early in the fall semester to have the best selection.
How long do I have to sign a lease after being offered an apartment?
You have 48 hours from the time we offer you an apartment to sign the lease and provide the security deposit. If you miss this window, we move to the next applicant on the list.
Do I need a parent or guardian to co-sign the lease?
No, we do not require parental co-signing for our leases. We believe in treating our tenants as responsible adults.
What is required to secure an apartment?
To secure an apartment, you need: 1) A completed rental application, 2) Full security deposit (equal to one month's rent minus $25), 3) Signed lease agreement, 4) Completed EFT forms for automatic rent payments.
What is the security deposit?
The security deposit is equal to one month's rent minus $25. This deposit is held in an escrow account and returned after move-out, minus any damages or unpaid charges.
What are EFT forms?
EFT (Electronic Funds Transfer) forms authorize automatic monthly rent payments from your bank account. This ensures timely rent payment and is required for all tenants.
Can I tour apartments before applying?
Yes, we offer apartment tours by appointment. Contact Ruth Hill at 802-556-1342 or Elisabeth Robert at 802-343-5568 to schedule a viewing.
How many people can live in an apartment?
Our strict policy is one person per bedroom. A 2-bedroom apartment can have maximum 2 occupants, a 3-bedroom can have 3, and so on. This policy is non-negotiable.
Are pets allowed?
No, pets are not allowed in any of our properties. The only exception is for documented service animals as required by law.
Can I sublet my apartment?
Yes, subletting is allowed for academic semesters with the following conditions: 1) You must get written approval from management, 2) The subletter must complete an application, 3) You remain responsible for rent and any damages.
What is the lease term?
Standard leases run from June 1 to May 31 (12 months). We occasionally have apartments available for different terms, but the majority follow the academic year cycle.
What is the Association Fee?
The Association Fee is $25 per person per month. This fee covers access to our vendor management system and helps maintain common areas.
How much should I budget for utilities?
Utilities typically run $50-100 per person per month, depending on usage and season. This includes electricity, gas, and internet/cable if you choose to have them.
How much is parking?
Off-street parking is available at select properties for $950 per year. Parking permits are non-transferable and limited in availability.
When is rent due?
Rent is due on the 1st of each month and is automatically withdrawn via EFT. Late fees apply if payment fails due to insufficient funds.
What utilities am I responsible for?
Tenants are responsible for setting up and paying for: Vermont Gas (heat), Burlington Electric (electricity), and Comcast/Burlington Telecom (internet/cable if desired).
What does Queen City Apartments provide?
We provide water, sewer, trash removal, landscaping, snow plowing, and maintenance of common areas. We also handle all major repairs and appliance maintenance.
How do I submit a work order?
You can submit work orders through our online form on the website, or contact Ed Grasmeyer at 802-343-8888 for urgent maintenance issues.
What if I have a maintenance emergency?
For true emergencies (fire, flood, gas leak), call 911 first. Then contact Ed Grasmeyer at 802-343-8888. For after-hours lockouts, contact Dion Security at 802-862-3466.
When can I move in?
Move-in date is typically June 1st. Keys are available starting at 9 AM on your lease start date. You'll receive move-in instructions via email the week before.
What should I do before moving in?
Before move-in: 1) Set up utilities in your name, 2) Obtain renters insurance (highly recommended), 3) Complete the move-in inspection checklist within 48 hours of moving in.
What is the move-out process?
Move-out requires: 1) All personal items removed, 2) Apartment cleaned to move-in condition, 3) All keys returned by noon on May 31st, 4) Forwarding address provided for deposit return.
How do I get my security deposit back?
Security deposits are returned within 14 days after move-out, minus any deductions for damages or cleaning. We provide an itemized statement of any deductions. Normal wear and tear is not charged.
What safety features are in the apartments?
All apartments have: hardwired smoke/carbon monoxide detectors, fire extinguishers in kitchens, secure entry doors, adequate lighting in common areas, and some buildings have sprinkler systems.
Are the buildings secure?
Yes, all buildings have locked entry doors. Do not prop doors open or give entry codes to non-residents. Report any security concerns immediately.
What about lead paint?
Properties built before 1978 may contain lead paint. We provide EPA-approved information about lead safety and maintain Essential Maintenance Practices certification for all properties.
What should I do in winter weather?
Keep heat at minimum 55°F to prevent pipe freezing, report any ice dams or drafts immediately, and use provided sand/salt on walkways. Never use space heaters near flammable materials.
