This page explains how Queen City Apartments handles rental applicant information.

Information We Collect

Rental applications may ask for your name, contact information, current address, employment information, income information, references, desired property or unit, and related screening information. We may also collect operational records such as submission timestamps, status changes, and communications about the application.

How We Use Information

We use applicant information to evaluate rental applications, communicate with applicants, verify information, support leasing decisions, maintain audit records, send required notices, and comply with legal obligations.

Consumer Reports

By submitting a rental application, you authorize Queen City Apartments to obtain a consumer report from one or more consumer-reporting agencies for rental screening. If a consumer report contributes to an adverse decision, we will identify the agency used and provide the adverse-action notice required by the Fair Credit Reporting Act.

Federal law gives consumers the right to request a free annual consumer report, to dispute inaccurate or incomplete report information, and to receive a free report from the agency identified in an adverse-action notice within the required notice period.

Access and Retention

Applicant information is available only to Queen City Apartments personnel and contracted service providers who need it for application processing, screening, leasing, legal compliance, or system operation. Audit records are designed for a seven-year retention period so we can reconstruct housing decisions if a complaint or investigation occurs.

Vermont Data Handling

For Vermont applicants, we will obtain and use credit or consumer-report information only as permitted by Vermont law and with the consent required for rental screening. We will not use applicant data for unrelated marketing or sell applicant information.
